video2brain experts Co. Ltd. (the “Company”) handles personal information under Japan's Act on the Protection of Personal Information and other applicable laws in accordance with this policy.

2. Information we collect
When you contact us, we may collect your name, company or organization, email address, project type, project description, desired timeframe and other information reasonably needed to respond. To assess misuse and spam, we also record the submission time, page language, referring site, browser and device information, a random session identifier, and the country or region approximately inferred from network information. We do not store precise location or a full IP address in the inquiry record. Please do not send sensitive personal information.
3. Purposes of use
We use this information to respond to inquiries, verify identity where necessary, consider production projects, prepare proposals or estimates, communicate, make pre-contract arrangements, provide our services and maintain related records. We do not use inquiry data for unrelated advertising.
4. Disclosure to third parties
We do not disclose personal data to third parties without consent, except where permitted or required by applicable law. Where disclosure occurs, we conduct and retain the checks and records required by law.
5. Service providers
We use OpenAI services and their infrastructure providers for website hosting and secure form processing, and Wix.com Ltd. automation and email-delivery services to notify the Company's internal recipients of new inquiries. Submitted content may also be stored by the recipient email services configured by the Company. We select providers appropriately and use suitable contractual, access-control and supervisory safeguards.
6. Overseas processing
Inquiry information may be processed or stored outside Japan, including in the United States, Israel and other countries or regions where our service providers operate infrastructure. By submitting the form after reviewing this policy, you consent to this overseas handling. We review provider safeguards and handling in accordance with APPI.
7. Security measures
We use necessary and appropriate organizational and technical safeguards, including access controls, authentication, protected transmission, provider management and handling reviews, to prevent unauthorized access, loss, leakage or damage.
8. Retention and deletion
We retain inquiry information while responding and considering a project. If no contract or continuing business relationship follows, we ordinarily delete it within 12 months after the last contact. Information required for legal obligations, the establishment or defense of rights, or an ongoing project is retained only for the necessary period.
9. Individual rights
You may request notification of purpose, access, correction, addition, deletion, suspension of use, erasure, suspension of third-party provision or disclosure of third-party provision records through the contact form on this website. We will verify identity and respond within a reasonable period in accordance with applicable law.
10. Cookies and analytics
The initial launch will not use advertising, remarketing, behavioral-profiling or analytics trackers. The inquiry form temporarily stores a random identifier in browser sessionStorage to distinguish the browser session and help assess spam. It is removed when the browser session ends and is not used for advertising. If non-essential cookies or analytics are introduced, we will first explain their purpose, provider and available choices.
